Job Summary:
Supports publication operations through coordination and stakeholder management across various key stages of publication operations. Will assist in administration and maintenance of the publication projects by managing systems, helping track and monitor progress, and assisting in publication submissions management. Will own up to all publication management related tasks assigned by the lead/manager end-to-end executes perfectly per SOPs. 
Job Description
•    The Service Provider will support publication teams with Management of the client user database (PubStrat MAX, DataVision/iEnvision, PubsHUB) and record updates for appropriate groups/categories of publications
o    Create records based on details provided by pub owners and from Publication Planning Committee minutes of meetings
o    Ensure all required fields are entered during the course of the publication development cycle
o    Follow-up for information to be filled in missing fields
o    Send back input(s), if any, to the pub owner
o    Update dates and steps per the publication plan as the publication progresses in the workflow
o    Proactively follow up with owners of publications where updates are missing
o    Add/remove internal users and external users, as requested; for internal and agency users, this also involves requesting an SSO setup from IT
o    Set up author agreements for relevant publications using the client DocuSign account
o    Organize and route for final Company Review in PubStrat MAX/DataVision/iEnvision, PubsHUB, follow up with reviewers, if necessary, and send comments back; in case of OOO scenarios for assigned reviewers, route files to the backup reviewer

•    Manage system mailbox and keep the mailer and response templates updated, manage calendar and OOO as needed for all stakeholders 
•    Escalate compliance issues and exceptions, as identified
o    Flag instances of non-compliance, process risks, etc, as needed, to relevant stakeholders/ departments
•    Upload final versions and metadata to the publication archive for appropriate groups/categories of publications
•    Generate various metrics and reports on publication status at region/Therapeutic Area (TA)/product level to assist in governance, intervention planning, process updates/optimization, etc
•    Understand the objective and significance of various metrics and reports to be able to track, extract, and/or validate appropriately
•    Understand and keep oneself updated on processes, compliance updates, best practices, product team dynamics, and systems at org-level and guide others, as needed
•    Ensure publication plans (global/regional) are up-to-date and reflect the most current status
•    Organize and conduct meetings with publication leads, planning teams, etc., on a regular basis to provide updates and support on region/TA/product-level plan tracking and execution
•    Facilitate communication and coordination between the various stakeholders, capture the key notes (Publication Planning Committee meetings), and manage plan updates, as needed
•    Take down action items for leads and publication stakeholders; distribute notes to PPC using MS TEAMS
•    Facilitate and assist in process update roll-out plans and participate in training, change management, as needed
o    Answer compliance queries and questions related to standard operating procedures and other guidance documents
o    Send out process guidance mailers
o    Schedule, track, and facilitate trainings
o    Complete required internal training on time

Educational Requirements
•    Bachelor’s degree or above in the health sciences with 2-4 years’ related experience 

Must Have
•    Demonstrated experience in publications development and management
•    Solid grounding in publications compliance, GPP and ICMJE guidelines, and publications best practices 
•    Ability to work in a fast-paced environment and across teams
•    Proactive and solution-oriented in nature
•    Clear and effective communication skills.
•    Flexibility and adaptability to manage long-term activities in a constantly changing internal and external environment

Preferred Qualifications

•    Extensive demonstrated experience in operation and maintenance of global publication database management gained through working within other biotech/ pharmaceutical companies/medical communication agency; Familiarity with PubsHub is a major plus

•    Experience working globally, cross-culturally, and cross-functionally
