Must Have

ROLE: Reference Librarian

ROLE PURPOSE: 
Provide seamless integration and cross-functional support within existing brand teams. Reference librarians will work across brand teams and agencies to ensure reference documents are robustly governed with associated core claims within Veeva PromoMats to enable an efficient and effective MLR review. Address usage requirements and accountability of safeguarding of copyright/usage.

o    Advanced proficiency using Microsoft Office suite of tools
o    Ability to support a high volume of projects simultaneously

o    Proven success in operating in a matrixed or team environment
o    Experience working in the biopharmaceutical industry

PRINCIPAL RESPONSIBILITIES: 
Responsibilities and key activities include but are not limited to:
 
•    Act as the single point of contact for all reference related queries, including conflicting requests, access issues, and locating references within the platform 
•    Perform a quality check on reference requests received through client specific platforms from creative agencies or originators 
•    Screen and validate references against source documents and write or edit abbreviated references as per predefined style guidelines 
Cleanup Activities
•    Review and clean up references in the Veeva Vault library to ensure accuracy, relevance, and compliance 
•    Identify and remove duplicate, outdated, or incorrect references 
•    Validate reference metadata (e.g., title, author, publication date, source, version) for completeness and correctness
•    Maintain reference library hygiene by conducting regular quality audits and identifying duplicates, outdated references, or data mismatches 
•    Identify missing information or duplicate references in the reference management platform and coordinate with agencies/originators for resubmission or mark duplicates as obsolete 
•    Manage internal databases to ensure high quality reference data, proper metadata management, and accurate indexing

EDUCATION: 
Any Bachelor’s degree
1-2 years of project management, and/or operational experience 

EXPERIENCE: Internal: 1 year
             External: 1-2 years
