Must Have
Senior Project Associate
EDUCATION: Bachelor’s degree in any discipline (Science, Commerce, Arts, etc.). MBA in Project Management, Operations, Healthcare, or equivalent field is preferred
EXPERIENCE: 3 - 5 years of experience in Client Servicing and Program Management
SKILLS:
Technical Skills:
• Proficient in MS Office Suite (Excel, Outlook, PowerPoint) and document management systems.
• Familiarity with project and program management methodologies.
• Understanding of budgeting and resource allocation procedures.
• Skilled in using project management or compliance tools (e.g. JIRA, MS Project, Smartsheet, etc.)
Soft Skills:
• Possesses strong communication and interpersonal skills, fostering effective collaboration and adaptability in team environments.
• Demonstrates the ability to manage multiple priorities efficiently with a structured and accountable approach.
• Applies an analytical mindset to identify risks or bottlenecks and proactively suggest practical solutions.
PRINCIPAL RESPONSIBILITIES:
Project Management & Support:
• Assist in planning, scheduling, and tracking client engagement timelines and deliverables.
• Support stakeholders with status updates, dashboards, and presentations.
• Coordinate with cross-functional teams to ensure timely task completion and escalate delays as needed.
• Facilitate client engagement setup activities including KOMs, resource planning, and client communication.
• Monitor progress, identify risks, and provide timely alerts to stakeholders.
• Manage documentation, including meeting minutes, trackers, and reports.
• Support the creation of RFI, RFQ, and RFP responses and maintain project management tools.
• Facilitate internal and client audits and manage engagement related queries.
• Oversee system and infrastructure setup for project delivery (e.g., access, training, configuration).
• Track compliance, prepare deviation reports, and propose corrective actions.
• Perform onboarding/offboarding activities and monitor delivery against KPIs and SLAs.
Training & SOP Management
• Track and manage training completion, SOP adherence, and audit readiness for regulatory project teams.
• Coordinate updates to process documentation and SOPs based on evolving client needs or internal process improvements.
Good to have
Finance Management
• Assist in revenue recognition, including reconciling time entries, deliverable milestones, and billing schedules.
• Generate regular reports on projects health, financial, and resource utilization. Support invoicing, financial tracking, and volume forecasting.
Stakeholder Management & Communication
• Act as the central coordination point between cross-functional teams and clients for updates and requirements.
• Prepare status reports, dashboards, and escalation summaries for leadership and client reviews.
• Establish and maintain strong, long-term client relationships by serving as the primary point of contact, understanding client objectives, proactively addressing concerns, and ensuring consistent communication and alignment throughout the project lifecycle.
• Proactively manage and resolve escalations by identifying root causes, coordinating with cross-functional teams, and ensuring timely resolution while maintaining transparency with internal stakeholders and clients.
Documentation, Repository & Compliance
• Maintain centralized, audit-ready repositories of project documents with version control.
• Drive SOW creation and coordinate internal/external approvals.
• Facilitate MSA creation in collaboration with legal, finance, and business teams.
Quality Management & Process Compliance
• Ensure adherence to quality, confidentiality, and security standards by executing and supporting quality systems, SOPs and documentation protocols
• Liaise with QC reviewers, SMEs, and auditors to ensure compliance and corrective actions.
• Ensure compliance with training and rgulatory specifications.
