Job Description for Material Coordinator
• Lead and manage cross-functional promotional review (MLR) committee meetings.
• Build and manage meeting agendas as a partner to Marketing and facilitate meetings while memorializing MLR Reviewer comments and job requirements.
• Responsible to manage all meeting logistics, including scheduling.
• Manage all aspects of the review process for multiple brands.
• Works independently on designated brands managing all aspects of both offline and live reviews.
• Works closely with Brand Marketing, the MLR Committee, Compliance, and the rest of Marketing Operations, to proactively identify and resolve issues and ensure reviews are efficiently completed throughout various stages of the process.
• Utilize system and reporting to effectively communicate and actively manage jobs with Brand/Project Originators.
• Enable best practices and SOP conformance.
• Use experience and judgment to identify jobs that may not be consistent with best practices, company policies, or FDA guidance.
• Ensures that all SOP requirements are met.
• Provides guidance and training as required to all MLR participants.
• QC submissions at all stages to ensure they align with the SOPs and meet the minimum acceptable quality.
• Streamline promotional and nonpromotional material workflow via Veeva PromoMats.
• Ensure that tasks are closed out/completed before items expire.
• Identify submissions that do not meet timeline or application standards.
• Ensure tasks are assigned to appropriate users to determine renewals or address expirations.
• Update necessary metadata fields in Veeva PromoMats.
• Coordinate with agencies for upload of materials.
• Upload materials in case there is no agency uploader (material created/provided by the client).
• Manage all materials through expiry and renewal in Veeva PromoMats.
• Liaise between reviewers, approvers, coordinators, and business originators regarding material-related questions.
• Check that all assets have correct expiration date entered while moving to “Approved for Distribution” state.
Desired Profile
• Experience working in a pharmaceutical or healthcare advertising environment
• Familiarity with promotional review systems such as Veeva or Zinc strongly preferred
• Moderate to Advanced Microsoft Skills (Outlook, Excel, Word, PPT)
• Excellent interpersonal and collaboration skills
• Project management skills and experience preferred
• General understanding of FDA regulations for pharmaceutical advertising and promotion
• Strong presentation and meeting facilitation skills
• Bachelor’s Degree preferred
• Minimum of 2-3 years operations experience in MLR/PRC operations
Must have:
• Pharma Promotional Review (MLR) experience
• Should be hands on with promotional review systems such as Veeva
