Veeva Vault PromoMats Operations, Reporting & UAT Specialist Job Description The Veeva Vault PromoMats (VVPM) Operations, Reporting & UAT Specialist will provide hands-on support for daily platform operations, user troubleshooting, metadata remediation, reporting, release testing, and audit-ready documentation. The specialist must be able to work independently, communicate clearly with business users, and execute high-volume data and testing activities accurately within approved system governance.. Role boundary This role executes approved system-support, reporting, data, and testing work. It may not independently change validated production configuration, security, workflows, or taxonomy outside established authorization and change-control processes. Principal Responsibilities • Provide business-user support: Triage, research, resolve, document, and communicate VVPM issues; • escalate defects or configuration needs with complete evidence. • Lead metadata and data-quality remediation: Correct missing or inaccurate metadata, legacy tags, • taxonomy alignment, and other approved cleanup activities across document types. • Develop reports and dashboards: Create, schedule, validate, and maintain VVPM reports that support • operations, lifecycle management, data quality, and leadership visibility. • Plan and execute UAT: Draft test cases, coordinate testers, execute scripts, capture screenshots and • evidence, record results, and track defects through closure. • Support releases and enhancements: Assist with impact assessment, regression testing, release readiness, • communications, and post-release verification. • Perform approved administrative updates: Execute low-risk updates such as picklists, user roles, report • configurations, or metadata maintenance only within authorized permissions and change-control procedures. • Maintain audit-ready records: Ensure tickets, test evidence, data-cleanup logs, decisions, and system • documentation are complete, traceable, and stored appropriately. • Improve support operations: Identify recurring issues, root causes, self-service opportunities, job aids, and • process improvements. • Partner across functions: Work with PRO, business users, IT, Veeva support, vendors, agencies, and system • owners to resolve issues and maintain service continuity. • Support AI-enabled capabilities: Help evaluate and test approved AI-assisted VVPM or operational • capabilities, including use cases, data-quality dependencies, expected outputs, and human-review • requirements. • Expected Deliverables and Measures of Success • Current ticket and issue log with clear status, root cause, owner, next step, and closure evidence. • Prioritized data-remediation plan with completion metrics, quality checks, and documented exceptions. • Complete UAT package for each assigned release: requirements traceability, scripts, screenshots, results, • defects, retest evidence, and sign-off support. • Validated reports and dashboards with documented purpose, filters, owners, and refresh cadence. • Updated support guides, troubleshooting instructions, and release-readiness materials. • Accurate execution with no unauthorized production changes and timely escalation of compliance or validation • concerns. Essential Qualifications • 2+ years of hands-on experience with Veeva Vault Commercial applications, including PromoMats. • Demonstrated experience with metadata cleanup, high-accuracy data maintenance, reports, dashboards, and • business user support. • Experience developing and executing UAT scripts, documenting evidence, and managing defects to closure. • Working knowledge of Vault roles, picklists, metadata, workflows, reporting, and basic configuration concepts. • Strong Excel skills and experience with ticketing or work-management tools such as Jira. • Excellent attention to detail, independent problem-solving, written communication, and stakeholder support • skills. • Ability to use approved AI or automation tools responsibly for analysis, testing, documentation, or support • while verifying accuracy and protecting confidential information. Preferred Qualifications • Experience supporting pharmaceutical, biotechnology, medical, or another regulated promotional-review • environment. • Working knowledge of Medical-Legal-Regulatory or Promotional Review Committee workflows, digital asset • management, and content lifecycle processes. • Veeva Vault Platform Certified Associate or comparable formal Veeva training. • Experience supporting validated-system releases, regression testing, taxonomy remediation, or large-scale • metadata projects.
